Q: Do co-researchers also have to meet the eligibility requirements?

A: There are no regulations regarding co-researchers. Please see below for other eligibility requirements.

Q: Are researchers affiliated with a research institution eligible? Can nursing professionals working at a medical institution also apply?

A: No problem, as long as you meet the application requirements.

◆Challenging Issue Research Grants
Q: The applicant's condition states that the applicant must be a graduate student or a postdoctoral fellow.

A: You may apply for the Challenging Issues Research Grant. Please upload proof of graduate student at the time of application.

Q: Does this apply to graduate research students?

A: Graduate students and postdoctoral fellows are eligible for this grant. Graduate research students are different from regular graduate students and are not eligible for this grant. Please note that the JSPS also offers a "Designated Subject Research Grant for Regular Members (excluding graduate students and postdoctoral fellows) to conduct research," so please refer to the eligibility requirements.

Q: I am enrolled in a doctoral program at a graduate school overseas at the same time as residing in Japan and engaging in research activities. If so, can I apply under the graduate student/postdoctoral category?

A: You can apply. Please upload proof of your graduate student status at the time of application.

Q: I withdrew from the PhD program this March with credits and received my PhD this year, but I do not have a paid research position at the moment. Although I have the title of "Invited Faculty Member (unpaid)," in this case, do I have to apply for research grants other than the "Graduate Student/Postdoctoral Fellowship (Challenging Issues Research Grant)"?

A: Graduate students and postdoctoral fellows are not eligible. Please refer to the eligibility requirements for the other [Designated Subject Research Grant].

Q: I am currently a postdoctoral fellow, and there is a possibility that my status will cease to be that of a postdoctoral fellow after next April. If so, can I still apply for this research grant?

A: Although this grant will be implemented in the following fiscal year, the application must be based on your current qualifications at the time of application. Please consider applying based on the feasibility of your research.

2. how to apply

Q: I think I should list references in the "Current status and issues" and "Methods" sections of the application form, but due to the limitation of the number of characters, it is difficult to list the references and their details when the application is full. Are there any regulations or precedents on how the references should be described?

A: There are no specific regulations. Please be brief and within the character limit.

◆Challenging Issue Research Grants
Q: I understand that I need to present a student ID card or something similar, but if I am a postdoctoral fellow, what kind of thing should I present? Is a certificate of completion acceptable?

A: If you are a postdoctoral fellow, please upload a certificate (in any format) obtained by requesting the university at the time of application. Please note that a certificate of completion of the doctoral course does not constitute proof of postdoctoral status.

Q: Is it possible to include indirect expenses (general administrative expenses, overhead, etc.) of the affiliated institution in the use of research funds? If so, is there a limit?

A: In principle, as with other grants, please record the amount in accordance with the rules of your institution. As an academic society, we do not set a maximum limit.

Q:After adoption, will the applicant's organization be responsible for submitting a consolidated income and expenditure report? Also, is it necessary to submit the original receipts to your organization at the time of reporting?

A: The grants are intended for individual members, and the application and reporting documents are to be prepared and submitted by the individual. In principle, original receipts must be submitted. However, if the grant is to be combined with another grant or the original is required by the university or facility, please consult with the Society in advance and submit a "copy" of the receipt.

Q: If I purchase equipment necessary for my research, does it belong to my institution?

A: The grant will belong to the individual or the organization to which the grant is accounted for.

Q: At the graduate school I belong to, we bind doctoral dissertations and give them to my supervisor and examiners.

A: Regarding the cost of binding the doctoral dissertation to be given to the supervising professor and the examiners, we are unable to pay for this expense because it is part of the procedure for obtaining the degree and is not part of the necessary expenses for the so-called academic research process (such as research execution, translation, and submission costs) and does not fit the purpose of this grant.

Q: I have a co-researcher. If I want to distribute the grant to him/her, how should I do it? Is it distributed to each university after the grant is approved, or does the principal investigator receive the full amount once and then the transfer is made from the principal investigator's university to the co-researcher's university?

A: "The principal investigator will receive the full amount once, and then the principal investigator's university will transfer it to the co-researcher's university.

Q: Regarding expenses, where should conference participation fees be listed? Or is it not possible to raise funds for conference participation expenses? Can we also budget for travel expenses to attend the conference?

A: Conference participation expenses should be set as "membership fee" in the eligible expense calculation table. Travel expenses may be used under the item "Travel and transportation expenses. Please note that the conference you plan to attend must be held within the research grant period.

Q:日本看護科学学会の正会員の年会費は助成金の対象になりますか。

A:本研究助成は日本看護科学学会の正会員が対象となっておりますので、正会員の年会費は助成金の対象とはなりません。

Q: Can we pay for hiring a person as a research assistant from our budget?

A: It can be recorded as "personnel expenses.

Q: Are there any rules regarding the calculation of eligible expenses, such as travel expenses, gratuities, etc., within a certain percentage of the total expenses?

A: There are no specific regulations.

Q: Is it allowed to use the grant to purchase equipment (e.g., computers) to be used for research, or to pay for English editing or publication of articles?

A: There are no specific restrictions on the content of use.

Q: Are there any provisions for office expenses, gratuities, transportation, lodging, etc.?

A:Please record as much as is acceptable under the rules and regulations of your institution and socially acceptable practices.

Q: Is there anything I should pay attention to regarding the use of grant funds and reporting (reimbursement)?

A:

(i) In the case of implementation by bank transfer to an individual account

Since it is necessary to attach receipts as evidence of the use of the grant funds at the time of reimbursement, please make sure to obtain and keep receipts for the use of the grant funds and attach them to the completion report at the time of reimbursement. Settlements will be reported electronically.

In the case of a transfer to a university or other organization to which the applicant belongs

When purchasing from a university, etc., only the books of the university, etc., may be attached to the report at the time of settlement, but we ask that you keep not only the books but also copies of delivery slips, invoices, and receipts that show how the funds were used, and attach them to the completion report at the time of settlement. Settlements will be reported electronically.

In both cases (1) and (2) above, if there is any remaining grant funds upon completion of the research and settlement of accounts, we will ask for a refund of even one yen.

The remaining funds are to be transferred to the account designated by the Society, and the transfer fee is to be paid by the applicant. Due to the complicated paperwork involved, we strongly request that you execute the grant as planned.

Reporting Obligations

Q: How can I register for the Japan Academy of Nursing Science, Research Grant Session? Also, is there a registration fee?

A: The Meeting Management Office will send you information on designated abstract registration for the year applicable to your report. Please register by the deadline. The conference will be held after the research grant period ends, so please bear your own expenses for participation in the conference.

Q: If intellectual property rights (patents, etc.) are generated when research is conducted, do they belong to the inventor?

A: The content of the grant-funded research will be presented at an academic meeting of the Society. Therefore, the copyright of the abstract and other materials will belong to the Society. Intellectual property rights (patents, etc.) do not belong to the Society, but please confirm for yourself whether they belong to your institution or to you as an individual.

Q: If I want to co-author a paper in the future with my advisor or a faculty member in my field, can the faculty member in my field be listed as a research coauthor? Or, can they not be listed as research coauthors on a graduate student's research topic?

A: Any person who is engaged in the research can be listed.

Q: I have applied, but how do I cancel or decline?

A: Promptly contact the office of the Japan Academy of Nursing Science ( office@jans.or.jp Please contact the following address. After the decision has been made, the runner-up may not be able to obtain the grant due to the budget or the timing of the committee/board meeting. You will also need to submit a grant cancellation notice.

Q: I need to revise my research plan. Is an extension possible?

A: Extensions are possible if the extension is deemed unavoidable. If a revision of the plan occurs, please contact the JNIH office (office@jans.or.jp) as soon as possible. If an extension is possible, you will be asked to submit a research grant plan modification form.
