Japan Academy of Nursing Science Member Personal Information Protection Policy
Compliance with applicable laws and regulations
The Japanese Society of Nursing Science (hereafter referred to as "the Society") is committed to the development of nursing science, to the exchange of knowledge widely, and to contributing to the health and welfare of people, and considers the proper handling of personal information to be an important responsibility. Therefore, we recognize the importance of handling personal information handled not only by members and staff of the Society, but also by all Society activities such as article submissions (Japanese and English journals), scientific meetings, and seminars, and we will handle such information appropriately in compliance with laws and other regulations regarding the protection of personal information.
2. acquisition of personal information
The Society collects personal information only to the extent necessary to provide and improve services in accordance with its business objectives. When collecting personal information, the purpose of use shall be clearly stated and the information shall be collected in principle.
3. use of personal information
Personal information collected by the Society will be used only to the extent necessary to achieve the purpose for which it is collected. The purposes of use of personal information handled by the Society shall be as follows (including outsourcing)
(1) Personal information of members
- Provide information on events, conferences, etc., and manage various notifications and membership fees
- Conduct questionnaire, collect opinions, and request committee members
- Election-related (delegates and officers)
- Payment of expenses related to attendance at general meetings of members, board meetings, committee meetings, etc. (including bank transfers)

(4) Personal information related to the organization of academic conferences
- Registration (including reception) and registration fee management
- Contact, coordination, and payment of honoraria (including bank transfers) to lecturers, panelists, etc.

- Confirmation of membership and notification of acceptance or rejection of presentations and requests for revisions, etc.
- Schedule announcement on the day of presentation
- Contacting applicants for various events (acceptance or rejection of applications, information about the event, etc.)

- Publicity and public relations (press release management, media coverage, etc.)

(5) Personal information related to the organization of seminars
- Management of registration (on-site and web) and participation fees

4. security control measures for personal information
The society will strive to properly manage the collected personal data so that it will not be leaked to outside parties, destroyed, tampered with, or lost. In addition, when personal data is outsourced, the society will properly manage and supervise the outsourcing, such as by concluding a nondisclosure agreement, to ensure proper management. In the event of a mishap, corrective measures will be promptly taken. However, personal information disclosed by the provider itself or already publicly available is not subject to management by the Society.

5. retention of personal information
JGASC will retain personal data for the period necessary to achieve each of the purposes of use stipulated in 3. When it is no longer necessary to retain personal data in light of each purpose of use, such personal data shall be deleted.
6. consent or withdrawal of consent to the provider's privacy policy
(1)By indicating their consent to this Privacy Policy, providers agree to be bound by the terms of this Privacy Policy.

11. changes to privacy policy
The Society may change its Privacy Policy by a resolution of the Board of Directors due to changes in laws and regulations or for other reasons. The revised privacy policy will be posted on the Society's website.

General Data Protection Regulation (GDPR) adopted by EU member countries fortifies data privacy rights, and gives rights, and gives individuals control over when and how personal information is gathered and used. GDPR mandates went into effect May 25, 2018.
