Detailed Rules on Guidelines for Management of Conflict of Interest in Academic Activities

1. publication in the Journal of the Society, etc.

(1) All authors who publish in the Journal of the Society, the Journal of the Japan Academy of Nursing Science and the Japan Journal of Nursing (1) All authors who make presentations in the society's journals, the Japan Academy of Nursing Science, the Japan Journal of Nursing Science, and the Japan Journal of Nursing Science (hereinafter referred to as "JJNS"), and other publications must submit a Conflict of Interest (Conflict of Interest Management Guidelines for Academic Activities in the Japan Academy of Nursing Science, 4. Conflict of interest (COI) The status of COI (conflict of interest, COI, hereinafter referred to as "COI") related to the content of the relevant presentation must be stated in the "Conflict of Interest" column in accordance with the respective submission rules at the time of submission, and the COI status must be clarified in accordance with the standards stipulated in Section 4.

2) The term "companies, corporate organizations, or for-profit organizations related to nursing research" as defined in 1) above is defined as companies, corporate organizations, or for-profit organizations that have the following relationships with respect to nursing research
  (1) Relationships (whether paid or unpaid) in which nursing research was requested or conducted jointly
  (2) Relationships in which the parties share patent rights or other rights related to therapies, devices, etc. being evaluated in nursing research.
  (3) Relationships that provide equipment and other items used in nursing research free of charge or at particularly favorable prices.
  (4) Relationships that provide research grants, donations, etc. for nursing research
  (5) Relationships that provide unapproved medical devices and other equipment for nursing research.
  (6) Relationships in which one's position, interests, or personal interests, such as conflicts of responsibility, arise in nursing research (other than (1) through (5) above).

2. presentations at academic meetings of the Society, etc.

(1) All presenters (including co-presenters) who give presentations or lectures at academic meetings, related seminars, public lectures, etc. of the Society must clarify their COI status for the past three years regarding their relationship with "companies, organizations or groups" as stipulated in 1.2) of this Bylaw at the time of abstract registration, etc., in relation to the relevant abstract presentation, in order to conduct the research. The COI status for the past three years related to the conduct of the research must be clarified at the time of abstract submission. In addition, the COI status should be disclosed at the beginning of the presentation slides or at the end of the poster, in accordance with the slide and poster disclosure examples shown at this meeting. In addition, if a person "exists" in a state of COI, he/she must report it to the office of the Society according to the "Self-Reporting Form" (criteria stipulated in section 4).

(2) Self-reported COI status shall be reported in accordance with the standards set forth in Section 4.

COI self-reports by officers of the Society, presidents of scientific meetings, members of various committees, etc.

(1) The president, vice president, directors, auditors, chairpersons of scientific meetings and members of various committees of this association must self-report their COI status at the time of assuming office and annually after assuming office (criteria stipulated in section 4). They must also promptly self-report any new COI status that arises. Self-reports of COI made by these persons shall be limited to those involving companies, corporate organizations, or profit-oriented organizations related to the business conducted by the Society.

(2) The spouse, first-degree relative, or any person with whom the subject shares income or property interests shall also file a report. (excluding members of various committees)

(3) Self-reported COI status shall be reported in accordance with the standards set forth in Section 4.

Criteria for COI self-reporting

The items to be disclosed in each of the following items and the criteria for self-reporting are set forth below. (except for JJNS)

(1) Economic Conflicts of Interest
  (1) For directors, advisory positions, and employees of companies, corporate organizations, and for-profit organizations (hereinafter referred to as "companies, organizations, or associations"), if their annual compensation from a single company or organization is 1,000,000 yen or more.
  (2) Description of the type (e.g., publicly traded or privately held, equity, capital contribution, stock options, beneficiary rights, etc.) and quantity of equity (e.g., stock, capital contribution, stock options, beneficiary rights, etc.) of the partner in the industry-academia collaboration activity. For stock ownership, the total profit (sum of dividends and gains on sale) from stock for one year with respect to one company is JPY 1,000,000 or more, or 5% or more of all such shares are owned by the company.
  (3)The annual royalty fee for a single patent right from a company, corporate organization or association is JPY 1,000,000 or more.
  (4) Daily allowances (e.g., lecture fees) paid by a company, corporate organization, or association for time and effort spent by the researcher for attending (presenting at) a conference, if the total amount from one company or association is 500,000 yen or more per year.
  (5) Manuscript fees of 500,000 yen or more paid by a company, corporate organization, or association for writing brochures or other materials.
  (6) For research funds provided by a company, organization, or group, the amount actually allocated in research contract funds that the declarant can practically decide how to use for medical research (contracted research, joint research) from one company or organization is 1,000,000 yen or more.
  (7) For scholarship donation (incentive donation) provided by a company, organization, or group, if the amount actually allocated to the individual declarant or a representative of the department (course or field) or laboratory to which the declarant belongs is 1,000,000 yen or more per year for a donation that the declarant can practically decide how to spend.
  (8) If you are a member of an endowed course offered by a company, corporate organization or association.
  (9) For other donations such as travel, gifts, etc. not directly related to the research, if the total amount from one company, corporate organization, or group is 50,000 yen or more per year.

(2) Conflicts of interest not included in 1)
  If you are in a situation that creates a personal conflict of interest (with respect to conflicts of obligation)

5. management of COI declaration

COI reports submitted to the society in accordance with these bylaws shall be kept strictly as personal information for two years at the office of the society under the supervision of the President, and shall in principle be kept confidential. After the storage period has elapsed, the COI reports shall be promptly deleted and disposed of under the supervision of the President. However, if the Board of Directors deems it inappropriate to delete or dispose of the COI, it may withhold the deletion or disposal of the COI for a necessary period of time.
Conflict of interest (COI) reports shall be made available to the Board of Directors and the Conflict of Interest Committee from time to time for the purpose of processing matters set forth in these Guidelines.

Disclosure and disclosure of the declarant's COI status

If any doubt or social or moral issue arises concerning the COI status of such declarant, the Society shall disclose the necessary matters internally or publicly to the public after consultation with the Conflict of Interest Committee and the Board of Directors.

7. appeals

The "Guidelines for the Management of Conflict of Interest in Academic Activities at the Japanese Society of Nursing Science 7. (2) Appeal by a person subject to action", if the person subject to action is dissatisfied with the content of the action, he/she may request an appeal to the President within 30 days of notification of the action taken.

8. Revision

These Bylaws may be amended by resolution of the Board of Directors.

Supplementary Provisions

These bylaws shall go into effect on June 22, 2015. However, they will go into full effect on April 1, 2016, and will be in effect for a trial period until then.

The amendments to these Bylaws shall go into effect on December 4, 2015.
The amendments to these bylaws shall become effective June 16, 2019.
The amendments to these Bylaws shall become effective on June 18, 2023.
The amendments to these bylaws shall become effective on September 5, 2023.
The amendments to these Bylaws shall become effective on February 15, 2024.

Conflict of interest (COI) reports for "members" such as presenters who give presentations or lectures at academic meetings of the Society, officers of the Society, presidents of academic meetings, and members of various committees should be submitted through "Member My Page.
